Obsidian Core™

Obsidian Core™ is a private, local-first AI back-office operating system for owner-operated businesses.

You give instructions through the Obsidian Core application. Behind the scenes it organizes jobs, documents, approvals, signatures, payments, and business records on hardware you control.

Operational status

Deployment requests are currently accepted on a limited basis. Installs are configured for each business—not offered as open self-serve software.

A normal job

What a job looks like from start to close

A concrete path through the system—how work moves from a new request to a closed job with records preserved.

  1. 1 New request comes in
  2. 2 Job is created and numbered
  3. 3 Photos, PDFs, and records are organized into the job
  4. 4 Scope and pricing are drafted from your business rules
  5. 5 You approve what should go out
  6. 6 Estimates, contracts, and other documents are issued
  7. 7 Signatures and document status are tracked
  8. 8 Payments and expenses are recorded
  9. 9 Job is closed with documents, money, and history intact

What it does

Back-office work the system helps you run

Records

Jobs and client records

Create clients and jobs, assign job numbers, and keep each job’s files and notes in one place.

Paperwork

Document production

Generate estimates, work orders, contracts, change orders, invoices, receipts, completion documents, and customer-facing PDFs.

Control

Approval-gated execution

The system can propose important actions; you review and approve before consequential changes run.

Status

Signatures and document status

Track documents through draft, approval, signature, signed, issued, paid, and completed states—and import signed copies.

Money

Owner financial records

Track payments, expenses, job profit, owner draws, retained business funds, and monthly or yearly totals through an owner ledger.

Ownership

Local ownership and audit history

Records stay on your deployment. Approval and execution history remain available for review.

Audience

Who it is for

Owner-operated businesses with repeatable job and document workflows who want local ownership and deliberate approval controls.

  • Owners who create jobs, send estimates and contracts, and track payments themselves
  • Businesses that need photos, PDFs, receipts, and signed paperwork filed by job
  • Operators who want pricing rules, templates, and checklists that match how they already work
  • Owners who want important changes proposed for approval—not silently finalized

Boundaries

What Obsidian Core™ is not

Read this once so the rest of the site can stay focused on what the system actually does.

  • Not a cloud SaaS subscription holding the business’s operational records.
  • Not a generic chatbot that only answers questions.
  • Not merely a dashboard that makes the owner manually operate every workflow.
  • Not autonomous software allowed to finalize consequential actions without approval.
  • Not a replacement for the owner’s judgment, accountant, attorney, or required professional review.
  • Not dependent on a remote AI provider to perform its core deterministic functions.
  • Not a public file-sharing system or an invitation for users to manually alter the managed Vault.
